What a Records Move Involves

The collection is measured in linear metres, mapped against the shelving plan at the new site, and moved bay by bay onto book trucks that hold the sequence. Each truck is labelled with its origin bay and its destination bay, so the order survives the journey.

Where the shelving is coming too, it goes up at the new address before a single carton moves. Loading a collection into a room with no shelves is how a project becomes a warehouse of pallets nobody can use.

A collection out of order is worse than no collection, because staff cannot find anything and re-sorting is measured in weeks. Bay-to-bay mapping and book trucks are what keep the order intact from one building to the next.

Records moves are estimated in linear metres of shelf, which is the only measure that translates reliably into crew hours and truck loads. Counting boxes gets you a number that falls apart on the day.

Shelving Goes Up Before Anything Arrives

If the shelving is not standing and levelled when the collection lands, it goes on the floor in pallets and the project stalls. Installation is scheduled ahead of the move, not alongside it.

Legal, medical and HR files go in numbered containers with tamper seals and a chain of custody signed at both ends. For regulated records that documentation is part of the deliverable.

Mobile Shelving Is Slower Than It Looks

Rail systems have to be dismantled, the track relaid dead level and the carriages rebuilt before they run properly. It is worth surveying carefully, because underestimating it delays everything behind it.

Libraries and public-facing offices usually move outside opening hours or over a closure period. Evening and weekend crews are billed at the rate you agreed, with no out-of-hours addition.

How a Records Move Runs

1. Survey. Linear metres measured, shelving type recorded, the new floor plan collected.

2. Mapping and hourly rate. Every origin bay mapped to a destination bay, with crew size and the rate per hour.

3. Shelving first. Racking and shelving installed and levelled at the new site before the collection moves.

4. Bay by bay. Loaded onto book trucks in order, delivered, and reshelved to the map.

Mobile shelving on rails needs the carriages dismantled and the track relaid and levelled, which is slower than it looks and worth surveying carefully.

Access, Sequencing and Lead Time

Libraries and public offices generally move after hours or over a closure period. Corporate file rooms are easier and often move over a single weekend alongside the rest of the office.

Four to eight weeks of lead time is comfortable. The long pole is nearly always shelving installation at the new site, so the sooner that floor plan is settled, the sooner everything else falls into place.

How do you keep files in the right order?

Every origin bay is mapped to a destination bay before anything moves. The collection is loaded onto book trucks in shelf order, each truck is labelled with where it came from and where it is going, and it is reshelved straight from the truck. Nothing is re-sorted at the far end.

Often yes, on skates, where the lift capacity and floor loading allow it. That saves a great deal of time. Where they cannot, the contents go into numbered cartons in drawer order and go back the same way.

Yes, and we schedule it before the collection moves. Cantilever, four-post and mobile systems are all normal work. Mobile shelving takes longer than most people expect because the track has to be relaid dead level.

Four to eight weeks. The constraint is usually shelving installation at the receiving site rather than the move itself, so settling that floor plan early is what keeps the whole schedule honest.
